Move your data from another app
Bring over your customers, your whole job history with amounts, and the write-up of what was done on each job. It usually takes 20–30 minutes, most of it waiting for your old software to email the exports.
- Customer list: names, phones, emails, addresses.
- Jobs: dates, job names, amounts, and how much was paid.
- Line items on jobs, if your software has such a report. Many apps keep only a short job name ("Diagnose and Repair") in the jobs export, and put what was actually found and done (appliance, model, problem, repair) in a separate line-item report. Without it, jobs come over with the short name and nothing else.
1. Export
Do this on a computer, as a spreadsheet (.xlsx) or CSV. Some apps email the export instead of downloading it. If it doesn't arrive within a few minutes, search your mail, including filtered folders.
Customers
Look for Export on the customer list, often under an Actions or ⋯ menu.
Jobs
- Include every job except canceled ones: completed, scheduled and in progress.
- If the job list lets you choose columns, add them all. You want the customer's phone, email and address, the job number, and the paid amount or payment status. Without one of those, every completed job is recorded as paid.
Line items on jobs (the work write-ups)
- Usually under Reports: a report of services or line items on jobs, one row per line, with the job number and the line's description.
- If the report page shows a summary, open the detailed list (one row per line item) and clear any filter so every service shows.
- Some apps limit a report to a year at a time. Export one year per file, from your first job to today, and keep them all.
Job photos, attachments and internal notes usually aren't part of these exports. Save any photos you need by hand.
2. Import into OnsiteBoard
Easiest on a computer, in the web dashboard. In the app it's Settings → Import data → Import customers or job history.
- Customers first. In the dashboard open Customers → Import customers, choose the customer list, check what was found, and import.
- Then jobs, together with the line-item files. Click Import customers again. In the file picker, select the jobs export and all the line-item files at once: Cmd-click on a Mac, Ctrl-click on Windows. OnsiteBoard matches them by job number and adds each job's write-up to it. Before anything is imported, it tells you how many jobs got one.
- Check the summary and click Import.
- Completed jobs arrive closed, with an invoice for the job amount and the write-up on the invoice line. A payment is recorded for what your export says was paid, so jobs that were never paid (or paid in part) show up as balance due instead of being counted as revenue.
- Scheduled jobs arrive as upcoming jobs on your schedule.
- Canceled jobs are skipped.
- Customers you already have, matched by phone or by name and address, aren't duplicated; only their blank details are filled in.
- Importing the same files a second time doesn't create duplicates.
