One day with OnsiteBoard

Five things you already do, in one app.

  1. Book.

Customers pick a day and a window on your booking link. Or paste their text, "Ants in the kitchen, want quarterly service": the name, phone, address and the job are filled in for you to check. Either way it lands in the app, and you confirm the booking.

  2. Drive.

Tap On my way. The status changes, a text to the customer opens with your message already written, and navigation opens to the address.

  3. Do the work.

A repeat visit opens with its services already on it. Write what you did and noticed in the visit log. For a one-time job, tap Draft: service lines are proposed from your notes and priced from your list, for you to check.

  4. Sign.

For a bigger one-time job, send the estimate first. The customer approves it from the link, or signs on your phone with the total above the pad.

  5. Get paid.

Send the invoice by text or email, with your terms at the bottom. The customer can pay by card from the link and add a tip. Card payments run through Stripe; its standard fees apply. Cash or check? Record it on the job.

What's in the box

What you get on day one.

  • Your day, in time windows

Jobs sit in the arrival windows you set, 8–10, 10–12, and so on, with a reminder before each one.

  • Booking requests from your link

Customers pick a day and a window on your booking link, and you confirm. Or paste their text, and the name, phone, address and job are filled in for you to check.

  • Pest control services, ready to go

Seven common jobs to start from, such as a $175 initial service and a $110 quarterly service, each with a starting price you change in Settings.

  • Quarterly visits that repeat

A new set of recurring visits starts as quarterly, with Quarterly pest service at your price. Change it to monthly, every 2 months or another rhythm.

  • First visit, then the rest

Tap Make recurring on an initial service job. The first visit keeps its own price; every visit after it is billed as the quarterly service.

  • A visit log for each stop

Write what you did and noticed. Add each product with the amount and, if you want, the area. Until you add a product on the new visit, the last visit's products show under Products applied.

  • Visit report by link

After a visit, send the customer a link they open, with the photos you choose.

  • Couldn't service

Gate locked, dog in the yard, customer asked to skip, weather: pick the reason and the visit closes as not serviced. You choose no charge, a trip fee or the full price. Charge a trip fee or the full price only if your customer agreed to it beforehand.

  • Stops in your order

Open the day's route and drag the stops into order. Recurring visits keep their place next time.

  • A heads-up the day before

Open tomorrow's visits and text each customer. Each text opens in your messages app for you to send.

  • Move a day

Move every visit that hasn't started from one day to another, same arrival windows. Then you get the list of customers to text.

  • Property, Pest and Found on the line

Service lines start with Property, Pest, Found and Service blanks. Filled in, they print under the line. Left empty, they don't.

  • Draft from your notes

Tap Draft and the service lines are proposed from the job's notes, for you to check. Prices come from your list only; you edit and save.

  • Bill each visit or by the month

Invoice each visit, or once a month: a flat monthly amount, or the month's completed visits added up.

  • Signed on your phone or online

The customer signs on your screen, with the total right above the pad, or approves the estimate from a link.

  • Paid by card, no reader

Customers can pay the invoice by card from a link and add a tip. Card payments run through Stripe; its standard fees apply.

  • Remind in one tap

Finished jobs that still owe money show the balance in red on your schedule, with a Remind button that writes the text for you.

  • Reports that answer the question

Money collected, tips included, jobs completed, average ticket and what's still owed, by week, month or year.

Also in there: customer search by name, street or phone, with every past job · import from a spreadsheet or CSV, export any time · deposits on estimates · one-tap On my way, with a ready-made text and navigation · alerts when a customer books, signs or pays · message templates · a PDF of every estimate and invoice · your terms at the bottom of every estimate and invoice · caller ID on iPhone · in the phone app, jobs save without signal and sync later · your trade in Settings, so the service list and the assistant fit pest control.

Quarterly service that repeats. Set it up once.

The first visit is one job. Every visit after it is the same stop on a schedule. Recurring visits start as quarterly, and you choose the rest.

  1. Start from the first visit.

Put Initial pest service, $175 to start, on the job and tap Make recurring. The first visit keeps its own price.

  2. The repeat service takes over.

Every visit after it is billed as Quarterly pest service, $110 to start. Change the line or the price before you save.

  3. Pick how often.

Quarterly to start. Monthly, every 2 months, every 4 months, twice a year and yearly are there too.

  4. Choose the billing.

Each visit, or monthly: a flat amount, or the month's completed visits added up. Monthly invoices wait in Alerts for you to review and send.

A single visit can be skipped, and a customer's visits can be paused or stopped from their card. When you change the price, you pick the day it starts; visits before that day keep the old price.

A Book Online button for your website.

Every account comes with its own booking page. Put the link behind a button on your website, or anywhere you list your business, and customers send a booking request for a window you're free; you confirm it with one tap.

  • Your windows. The page offers the arrival windows you set in Settings, and nothing else.
  • Only times you're really free. The page reads your schedule, including jobs you put in by hand, so a customer can't book on top of work you already have.
  • Notice you control. Set the earliest day in Settings: one day means a full 24 hours from the moment they book.
  • It lands in the app for you to confirm. Name, phone, address and what they need done, in the arrival window they picked, with an alert on your phone. Tap Confirm booking and the customer gets their confirmation email.
  • Written for your trade. The "What needs doing?" box and its example follow the trade you picked: "ants in the kitchen, want quarterly service".
  • One window, one request. Two people on the page at once can't both take the same window.

The customer's booking page for Example Pest Control in a phone browser: fields for name, phone, email (optional) and address, "What needs doing?" with the example "ants in the kitchen, want quarterly service", and arrival windows for the next days, one of them booked and crossed out.

Two small things you'll use every day.

An incoming call on an iPhone showing the customer's name, Jennifer Walsh, under the number, identified by OnsiteBoard.

Know who's calling.

Your customers' names show on incoming calls, even when they're not in your contacts. Pick up knowing it's a customer. iPhone only.

New customer: a pasted text about ants in the kitchen and a request for quarterly service, the Fill in from message button, and what it filled in for you to check: the name Marcus Lee, the phone (727) 555-0127, the address 22 Example St. and the note "Has ants in the kitchen and wants quarterly service."

A text becomes the customer.

Paste the message and tap Fill in from message. "Ants in the kitchen, want quarterly service…" becomes the customer's name, phone and address, with the job in the notes, for you to check. Then save and add the job.

Same account. Bigger screen.

The browser dashboard is for the evening at the desk: the week, the quotes, and who still owes you.

  • Today at a glance. What's on today, what came in this week, what's outstanding.
  • The week as a grid. Your time windows down the side, days across. An empty cell is a free window.
  • Today's stops, in order. The drive between each pair in miles and minutes, and a map, all estimated from the addresses on the jobs. Open the whole day in a maps app in one click.
  • Needs attention. Unpaid invoices by age, and payments and bookings as they come in.

Nothing to install. Same sign-in as the phone. Book jobs, edit customers, send invoices, run reports and export CSV, with a keyboard.

Bring your customers and jobs with you.

Export a customer list or a job history from your old app or spreadsheet, as .xlsx or CSV, and pick it in Customers. A job history comes in too: each past job with its total and payment, so your work history and revenue reports are there from day one. OnsiteBoard works out which kind of file it is and shows you what it found before anything is imported.

It's built not to double anyone up. Every row is matched against the customers you already have — by phone number first, then by name and address. A match only gets its blank details filled in, nothing you typed is overwritten, and a repeat is skipped. Run the same file twice and you get the same customers, not two of each. Everything exports back out any time.

Questions pest control operators ask

Can I set quarterly service to repeat?
Yes. On a customer's card, add recurring visits. A new set starts as quarterly, with Quarterly pest service at your price. You can change it to monthly, every 2 months, every 4 months, twice a year or yearly, or to weekly rhythms. Pick the day and the arrival window, and the next visits go on your schedule.
The first visit costs more. Does every visit get that price?
No. Tap Make recurring on a job with Initial pest service on it. The first visit keeps its own services and price. Every visit after it is billed as Quarterly pest service at your price, and you can change that before you save.
What does the visit log keep?
What you logged. On each visit you can write what you did and noticed, and add each product with the amount and, if you want, the area. Only the product's name is needed to save an entry. Until you add a product on the new visit, the last visit's products show under Products applied. It is a record of what you typed; OnsiteBoard doesn't check it. Some states set what a pest service record has to show. OnsiteBoard doesn't check that either, so check what applies to yours.
Can I show the customer the visit was done?
Yes. After a visit, tap Send visit report. The customer gets a link they open, with the photos you choose. Nothing about the visit is shared until you send it, and you can turn the link off.
The gate was locked. What do I do with the visit?
Tap Couldn't service and pick the reason: gate locked / no access, dog in the yard, customer asked to skip, weather, or other. Then choose no charge, a trip fee or the full price. The visit shows on your schedule as Not serviced, with the reason. Charge a trip fee or the full price only if your customer agreed to it beforehand.
Can I text customers the day before?
Yes. On the schedule, choose Text tomorrow's customers. You get tomorrow's visits, each with a heads-up text. Each text opens in your messages app for you to send; nothing goes out by itself.
Are the service prices set for me?
They're a starting point. You get seven common pest control services: Initial pest service $175, Quarterly pest service $110, Rodent trapping (incl. 2 follow-up visits) $225, Wasp / hornet nest removal $150, a one-time service at $195, a seasonal mosquito visit at $85 and bed bug work at $350 a room. Change the names, prices and descriptions in Settings, add your own, or delete what you don't do.
Can I bill once a month?
Yes. Set the billing of the recurring visits to Monthly. Enter a flat amount per month, or leave it empty and the month's completed visits are added up. Monthly invoices that are ready show at the top of Alerts for you to review and send. If a month had fewer visits than planned, you choose how to bill it: the full month, prorated, or per visit.
Where do I note the pest and what I found?
On the service line. It has Property, Pest, Found and Service blanks: "Pest: ants in the kitchen", "Found: trail along the back door". Filled in, they print under the line on the invoice, the PDF and the customer's page. Left empty, they don't print.
Where do gate codes go?
In the customer's Access field. Only you see it, on the customer card and the job card. Keep codes out of service lines and visit notes.
Can I charge per room or by the hour?
Yes. Bed bug work starts as a per room line: enter the rooms and your price, and the invoice reads "2 rooms × $350.00". Any service line can also be charged by the hour: enter the hours and your rate, and the line total is worked out as you type.
Can I take a deposit before a bigger job?
Yes, on any estimate: a percentage of the total or any amount. Record it as cash or check, or the customer can pay it by card from the estimate link. Card payments run through Stripe; its standard fees apply. When the estimate becomes the invoice, the deposit already counts as paid and the customer sees the balance. Check your state's rules before you set one.
Does it work for other trades?
Yes. You pick your trade when you sign up. It sets your starting service list and how the assistant reads customer messages and drafts services, for you to check. You can change it later in Settings; a service list you've edited stays unless you choose to replace it.
Do I need a card reader?
No. The customer can pay by card from the invoice link, on their own phone or computer. Card payments run through Stripe; its standard fees apply. You never handle the card.
Does it work offline?
In the phone app, partly. With no signal you can open your jobs, add a job and change its time; it syncs when you're back in signal. A job's services open with a signal the first time; after that you can change them, and record a cash or check payment on its invoice, without one. The customer's signature, job photos, sending an estimate or invoice, card payments, the assistant (reading a message, drafting services) and the map need a connection, and so does the browser dashboard.
Can I import my customers?
Yes, from a spreadsheet (.xlsx) or a CSV file. Export one from your old app and pick it in Customers. OnsiteBoard works out whether the file is a customer list or a job history and tells you what it found before anything is imported. Names, phones, emails and addresses come in. Rows are matched to customers you already have by phone, then by name and address: a match gets its blank fields filled in and nothing overwritten, and a repeat is skipped, so importing the same file twice doesn't double anyone.
What about Android?
The Android app is on Google Play, with the same account as the iPhone app and the browser dashboard. One difference: Caller ID is an iPhone feature.
Can my customer pay without an account?
Yes. The invoice link opens in their browser. No app, no sign-up. They can sign, add a tip if they want, and pay by card. Card payments run through Stripe; its standard fees apply.
What happens after the trial?
Nothing is charged when the trial ends: there is no card on file. You pick monthly or yearly in the app. If you don't, nothing is deleted: your jobs, customers and invoices stay viewable and exportable. Creating new work and sending documents by email from OnsiteBoard need a plan.
Is my data mine? Can I export it?
Yes. Export your customers and your payments as CSV, save or print any estimate or invoice as a PDF, and delete your account from Settings whenever you want.
Do you track my location?
No. The app never asks for it. Drive times between stops are estimated from the addresses on your jobs, and "On my way" and "Arrived" are times you tap yourself.
Can it draft my invoice?
Tap Draft on a job and OnsiteBoard proposes the service lines from the job's notes and your own service templates, for you to check. Prices come only from your templates. You look it over, change anything, and save.
A customer texted me instead of booking. Do I retype it?
No. Copy the text, open a new customer or job, and paste. The name, phone, address and the job are filled in for you to check. Then save.
