What to put on a pest control invoice

Describe the visit and the area in plain words, such as interior or perimeter. Follow-up visits go on separate lines.

  • your business name, phone and email
  • your customer's name and the address of the job
  • an invoice number and the date
  • each service and each part on its own line, with quantity and rate
  • any discount, tax and deposit already paid
  • the total, and how and by when to pay

What an invoice has to show can differ by state, so check what applies where you work. This is general information, not tax or legal advice.

What each line on this invoice is for

A pest service invoice describes the visit and the areas in plain words: interior, perimeter, kitchen. Follow-up visits get their own lines.

The main service
The kind of service and the areas it covered.
A service for one problem
Its own line, with the problem and the room named.
Items by count
Stations and similar items, with a quantity and a price for each.

In the notes, write the areas you serviced and when you plan to come back. Some states set what a pest service record has to show, so check what applies to yours.

Where pest control paperwork goes wrong: a line that says service, with no area. Name the areas, so the customer knows where you were and you know where to start next time.

Pest control invoice questions

How do I describe the service?

By the area and the problem, in plain words: interior and perimeter, ants in the kitchen.

How do I bill a follow-up visit?

As its own line with the date. If it is part of the first price, show it at zero.

Should I bill by the visit or by the plan?

Either. Even with a plan price, list the visits, so the customer sees what the plan covered.

Do I list what I used?

That depends on your state: some set what the record you give the customer has to show. Check what applies to yours.

How do I show stations?

Counted, with a price for each, and where they were placed.
