What each line on this invoice is for

A service invoice is an invoice for services rendered: a visit, the time spent and whatever was used. The customer cannot hold a service in their hands, so the paper has to say what happened.

Service call
The visit itself. If the visit is free when the customer goes ahead with the work, show it at zero, so they see it was counted.
Labor
What you did and the hours, or a flat price for a named service.
Parts and supplies
Anything you supplied, one line each.
Travel
A travel charge, if you have one, on its own line and agreed before the visit.

In the notes, write what you found and what you would look at on the next visit.

Where service paperwork goes wrong: the description says service and nothing else. Write what was serviced, where it is, and what you did, in the customer's words.

Invoicing repeat service visits

Many service businesses see the same customer again and again: a monthly visit, a seasonal check, a yearly service. Pick one way to invoice it and keep to it. Some invoice after every visit. Others send one invoice at the end of the month, with each visit on its own line and its date next to it. Either way, name the visit the same way each time, so the customer can lay two invoices side by side and see what changed. If the price of a regular visit is going up, tell the customer before the visit, not on the invoice.

Service invoice questions

What is the difference between a service invoice and a sales invoice?

A service invoice lists work: visits, hours and named services. A sales invoice lists goods. Many service invoices carry both, with the work first and the parts after it.

How do I describe a service on an invoice?

Say what was done, to what and where: annual service, one system, upstairs. A date helps when the customer has several visits in a month.

How do I invoice a regular customer?

Invoice each visit, or send one invoice for the month with each visit on its own line and its date.

Should I show my hourly rate?

If you bill by the hour, yes: hours in the quantity column and your rate next to it. If you bill a flat price, one line with the price is enough.

What payment terms should I use?

That is yours to choose. Due on receipt is common for home visits. Whatever you pick, put it on the invoice and tell the customer before the work.

How do I show a free service call?

Keep the line and set its price to zero. The customer sees that the visit was counted and not charged.

Can I put several visits on one service invoice?

Yes. Give each visit its own line with its date. Parts and supplies go under the visit they were used on.

What do I write when I found a problem but did not fix it?

Put it in the notes in plain words: what you saw, where it is and what you would do about it. If the customer wants it done, send an estimate for that work.

How soon should I send a service invoice?

Before you leave, or the same evening. The visit is fresh in the customer's mind and questions are easy to answer.

What an invoice has to show can differ by state, so check what applies where you work. This is general information, not tax or legal advice.
