What to put on a gutters invoice

Show the feet of gutter cleaned and the downspouts flushed. Small repairs go on separate lines.

  • your business name, phone and email
  • your customer's name and the address of the job
  • an invoice number and the date
  • each service and each part on its own line, with quantity and rate
  • any discount, tax and deposit already paid
  • the total, and how and by when to pay

What an invoice has to show can differ by state, so check what applies where you work. This is general information, not tax or legal advice.

What each line on this invoice is for

Gutter work is priced by the foot and by the story. The customer cannot see the result from the ground, so the invoice and a photo do the showing.

Cleaning by the foot
Feet of gutter in the quantity column, with the number of stories in the description.
Downspouts
Counted, with a price for each one flushed.
Guards
By the foot installed.
A small repair
Its own line with what was done, such as a resealed end cap.

In the notes, write what you saw up there: a loose section, a seam that drips, a downspout that drains against the house.

Where gutter paperwork goes wrong: cleaning and repairs in one number. Keep the cleaning by the foot on one line and each repair on its own, so the customer can see which was which.

Gutters invoice questions

Should I price by the foot or by the house?

By the foot is easier to explain and to repeat next season. Put the feet in the quantity column and the stories in the description.

How do I bill a second story?

Either a higher rate per foot or a separate line for the upper gutters. Say which story each line covers.

Should I send photos with the invoice?

Yes, if you took them. A before and an after picture show work the customer cannot see from the ground.

I found a repair while cleaning. Do I just do it?

Do the small ones you agreed in advance, and list each as its own line. For anything larger, send an estimate first.

How do I invoice a customer who has me back twice a year?

Start from the last invoice. The feet and the downspouts are the same, so the lines are the same.
