What to put on a handyman invoice

A handyman visit is often several small jobs. Give each job its own line so the customer sees what each one cost, and list materials apart from labor.

  • your business name, phone and email
  • your customer's name and the address of the job
  • an invoice number and the date
  • each service and each part on its own line, with quantity and rate
  • any discount, tax and deposit already paid
  • the total, and how and by when to pay

What an invoice has to show can differ by state, so check what applies where you work. This is general information, not tax or legal advice.

What each line on this invoice is for

A handyman visit is often three or four small jobs in one trip. The customer wants to see what each one cost.

A job at a flat price
A small, defined job, here the drywall repair, with its size and what it includes.
A job by the hour
Open-ended work, here the gate, with the hours it took.
Materials for each job
Listed apart from labor, one line each, so the customer sees what you bought for them.

In the notes, list what you did not get to and what the customer said they want next time. It becomes your next estimate.

Where handyman paperwork goes wrong: a single line that says repairs, with one big number. The customer cannot tell the gate from the drywall, and neither can you six months later. Name each job, give its size or its place, and keep materials apart.

One line per small job on a handyman invoice

A handyman visit often covers several small jobs, such as a drywall patch, a gate hinge and a shelf. Give each job its own line with its size or place, for example the wall and the approximate area, so the customer can tell one from another. Small defined jobs can carry a flat price, and open-ended ones are billed by the hour with the hours in the quantity column. Materials get their own lines, one per item, and a minimum charge or a trip charge, if you use them, are named lines too. Keep your receipts for anything you bought for the job.

Handyman invoice questions

Flat price or hourly on a handyman invoice?

Both can sit on the same invoice. Give small defined jobs a flat price and bill open-ended ones by the hour.

How do I bill materials I bought for the job?

List each one on its own line. Keep the receipts in case the customer asks.

Do I charge for the trip to the store?

That is your policy. If you charge it, show it as its own line so it is not a surprise.

Several small jobs in one visit: one line or many?

One line per job. The customer sees what each one cost and can decide what to add next time.

How do I show a minimum charge?

As its own line, named as your minimum for a visit. Tell the customer about it when they book.
