What to put on an irrigation repair invoice

Name the zone for each repair. Heads, valves and pipe go on separate lines, and so does the system check.

  • your business name, phone and email
  • your customer's name and the address of the job
  • an invoice number and the date
  • each service and each part on its own line, with quantity and rate
  • any discount, tax and deposit already paid
  • the total, and how and by when to pay

What an invoice has to show can differ by state, so check what applies where you work. This is general information, not tax or legal advice.

What each line on this invoice is for

An irrigation repair is a system check followed by fixes, zone by zone. Zones are how the customer thinks about their yard, so put the zone on every line.

System check
Running every zone and finding the faults, with the number of zones.
Labor by the hour
The repair, with the zone named.
Valves and heads
One line per kind of part, with a quantity.
Something installed
A sensor or a controller, on its own line.

In the notes, write what you set on the controller and anything you saw that will need attention next season.

Where irrigation paperwork goes wrong: repairs with no zone. Zone 3, front lawn, tells the customer where to look and tells you where you have already been.

Irrigation repair invoice questions

Should every line name the zone?

Yes. It is how the customer finds the repair in their yard, and how you find it again next year.

How do I bill heads?

One line per kind of head with a quantity. Four spray heads replaced is one line.

How do I invoice a seasonal start-up or shut-down?

As one line at a flat price, with the number of zones. Repairs found during it go on their own lines.

I found a leak underground. What now?

If it means digging, tell the customer and send an estimate before you start. Nobody can price buried pipe until it is uncovered.

Where do the controller settings go?

In the notes: the days and the run times you set. It answers the call a week later.
