What to put on an irrigation repair estimate

Name the zone for each repair. Heads, valves and pipe go on separate lines, and so does the system check.

  • your business name, phone and email
  • your customer's name and the address of the job
  • an estimate number, the date and how long the price holds
  • each service and each part you plan to supply on its own line, with quantity and rate
  • any discount, tax and deposit to start
  • the total, and what the price leaves out

What an estimate has to show can differ by state, so check what applies where you work. This is general information, not tax or legal advice.

What each line on this estimate is for

An irrigation repair is a system check followed by fixes, zone by zone. Zones are how the customer thinks about their yard, so put the zone on every line.

System check
Running every zone and finding the faults, with the number of zones.
Labor by the hour
The repair, with the zone named.
Valves and heads
One line per kind of part, with a quantity.
Something installed
A sensor or a controller, on its own line.

In the notes, write what you set on the controller and anything you saw that will need attention next season.

Where irrigation paperwork goes wrong: repairs with no zone. Zone 3, front lawn, tells the customer where to look and tells you where you have already been.

Irrigation repair estimate questions

Do I charge for the system check?

Many techs do, and take it off the repair if the customer goes ahead. Whatever you do, say it before the visit.

How do I lay out an irrigation estimate?

Zone by zone: each repair as its own line with the zone named, then the parts.

What should an irrigation estimate leave out?

Say it in the notes: pipe you cannot see until you dig, and anything beyond the sprinkler system itself.

How do I estimate seasonal service?

One line per visit: start-up, mid-season check, shut-down, each with its price.

How long should the price hold?

Put a date on it. The estimate maker lets you set how long the price holds.
