What to put on an auto detailing estimate

Put the package first and the add-ons after it. Name the vehicle, so a customer with two cars can tell them apart.

  • your business name, phone and email
  • your customer's name and the address of the job
  • an estimate number, the date and how long the price holds
  • each service and each part you plan to supply on its own line, with quantity and rate
  • any discount, tax and deposit to start
  • the total, and what the price leaves out

What an estimate has to show can differ by state, so check what applies where you work. This is general information, not tax or legal advice.

What each line on this estimate is for

A detail is a package plus add-ons. Customers compare packages, so the invoice should show which one they got and what was added.

The package
The level of detail and the size of the vehicle, which is what the price depends on.
Add-ons
Pet hair, seat shampoo by the row: one line each.
Protection
A sealant or a wax, on its own line with a plain name.

In the notes, write the condition you found, such as stains that did not come out fully or scratches that were there before you started.

Where detailing paperwork goes wrong: add-ons folded into the package. Then the customer expects pet hair removal every time at the package price.

Auto detailing estimate questions

Can I estimate from photos?

Often yes. Ask for a few pictures of the inside and say in the notes that the price is based on them.

How do I offer two packages?

Send two estimates, one for each package, so the customer can approve the one they want.

What about a vehicle in rough shape?

Say in the notes that heavy soiling is priced once you have seen the vehicle, and name what counts for you, such as pet hair or heavy stains.

How do I estimate a regular service?

One line with the price per visit and how often you come, and the first visit as its own line if it costs more.

How long should the price hold?

Put a date on it. The estimate maker lets you set how long the price holds.
