What to put on an appliance repair estimate

List the service call, the labor and each part on its own line. Name the appliance and what was wrong, so the customer can match the paper to the visit.

  • your business name, phone and email
  • your customer's name and the address of the job
  • an estimate number, the date and how long the price holds
  • each service and each part you plan to supply on its own line, with quantity and rate
  • any discount, tax and deposit to start
  • the total, and what the price leaves out

What an estimate has to show can differ by state, so check what applies where you work. This is general information, not tax or legal advice.

Appliance repair quote or estimate: the same form

Customers ask for a repair quote as often as for an estimate, often on the phone before you have seen the appliance. It is the same paper: who it is for, the lines, the total and how long the price holds. In the Word and Excel files you can change the title from Estimate to Quote if that is the word your customer used.

A quote given before the diagnosis can only cover what you know: the service call and the usual labor. Add the part on its own line once you have found the fault, and send the paper again.

Some people say quote for a fixed price and estimate for a best guess. Whichever word is on top, write on the paper whether the price is fixed or may change after the diagnosis.

What each line on this estimate is for

An appliance repair visit has a clear shape: a diagnosis, a repair if the customer says yes, and the parts. Name the appliance on the first line, because most kitchens have more than one.

Service call and diagnosis
The trip and finding the fault, with the complaint in the customer's words: not cooling, not draining, will not start.
Labor
The repair, with the part you replaced named in the line.
Each part
One line per part. If you replaced something small while you were in there, such as a gasket, it still gets its own line.

In the notes, write the model and serial number you read off the label, and what you tested after the repair.

Where appliance paperwork goes wrong: the appliance is never named. A line that says replaced fan motor does not tell the customer, or you next year, which machine it was.

Appliance repair estimate questions

When do I write an estimate for an appliance repair?

When the repair needs a part you do not have with you, or when the price is high enough that the customer wants to think about repairing or replacing.

What goes on an appliance repair estimate?

The diagnosis, the labor you expect, each part with its price, and how long the price holds. Name the appliance and the complaint.

Should I ask for a deposit before ordering a part?

Many techs do for special-order parts. Put the amount on the estimate and say what it covers. Some states limit deposits on certain kinds of work, so check yours before you set one.

What if I find a second fault during the repair?

Stop, tell the customer, and send a new estimate with the added work as its own lines before you go on.

How long should the price hold?

Part prices move, so put a date on it. The estimate maker lets you set how long the price holds.

Is an appliance repair quote the same as an estimate?

For most repairs, yes: customers use the two words for the same paper. If you mean a fixed price, say so on the paper. If the price may change after the diagnosis, say that instead.
