What to put on a house cleaning estimate

Start with the base clean by the number of rooms, then put each extra on its own line.

  • your business name, phone and email
  • your customer's name and the address of the job
  • an estimate number, the date and how long the price holds
  • each service and each part you plan to supply on its own line, with quantity and rate
  • any discount, tax and deposit to start
  • the total, and what the price leaves out

What an estimate has to show can differ by state, so check what applies where you work. This is general information, not tax or legal advice.

What each line on this estimate is for

A cleaning price is a base clean plus extras. Put them on separate lines and customers stop asking what is included.

The base clean
The kind of clean and the size of the home: bedrooms, bathrooms and rough square feet.
Each extra
Inside the oven, inside the refrigerator: one line each, so the customer sees what each one added.
Extras by the piece
Interior windows are counted, with a price for each.

In the notes, write what the customer asked you to skip and anything you could not reach, so the next visit starts from the same picture.

Where cleaning paperwork goes wrong: extras folded into the base price. The customer then expects the oven every time. Keep the base clean on one line with the size of the home, and every extra on its own line, even when you do it at no charge.

House cleaning estimate questions

What do I need to know to estimate a home?

Bedrooms, bathrooms, rough square feet, pets, and how long since the last deep clean. Write these on the estimate, so the price has a basis.

Should I price a first clean differently?

Many cleaners do, because a first visit takes longer. Show the first clean and the regular visits as separate lines.

How do I show the price for regular visits?

One line with the price per visit and how often you come, for example every two weeks.

How long should the price hold?

Put a date on it. The estimate maker lets you set how long the price holds.

Should I visit before I estimate?

For a deep clean or a move-out, a walk-through or a few photos make the price firmer. For a standard clean, the room counts are usually enough.
