What to put on an auto detailing invoice

Put the package first and the add-ons after it. Name the vehicle, so a customer with two cars can tell them apart.

  • your business name, phone and email
  • your customer's name and the address of the job
  • an invoice number and the date
  • each service and each part on its own line, with quantity and rate
  • any discount, tax and deposit already paid
  • the total, and how and by when to pay

What an invoice has to show can differ by state, so check what applies where you work. This is general information, not tax or legal advice.

What each line on this invoice is for

A detail is a package plus add-ons. Customers compare packages, so the invoice should show which one they got and what was added.

The package
The level of detail and the size of the vehicle, which is what the price depends on.
Add-ons
Pet hair, seat shampoo by the row: one line each.
Protection
A sealant or a wax, on its own line with a plain name.

In the notes, write the condition you found, such as stains that did not come out fully or scratches that were there before you started.

Where detailing paperwork goes wrong: add-ons folded into the package. Then the customer expects pet hair removal every time at the package price.

Auto detailing invoice questions

Should the invoice name the vehicle?

Yes, in the first line: the kind of vehicle and its color. A customer with two cars can then tell the invoices apart.

How do I price by vehicle size?

Put the size in the package line: sedan, midsize SUV, truck. The same package then has a clear reason for a different price.

How do I bill travel for mobile detailing?

If you charge it, show it as its own line and say it when the customer books.

Two vehicles at one address: one invoice or two?

One invoice works. Start each line with the vehicle, so the customer sees what each one cost.

Should add-ons be separate lines?

Yes. They change from visit to visit, and separate lines keep the package price the same every time.
