What each line on this invoice is for

A labor invoice bills time. It shows who worked, for how many hours and at what rate, and then whatever was bought for the job.

Labor by person or by role
One line for each rate: the lead, the helper. Hours go in the quantity column and the hourly rate next to it.
Materials
What you bought for the job, at the price you are charging for it.
Fees
Dump fees, rentals and similar costs, one line each.

In the notes, write the days worked and what was done on each, in a line or two. Keep the receipts for materials in case the customer asks.

Where labor paperwork goes wrong: hours with no dates. Put the days in the notes or in the line itself, so the customer can match the hours to what they saw.

Time and materials

A time and materials invoice is a labor invoice with the materials added. The customer pays for the hours worked at an agreed rate and for the materials used. It suits work where nobody can know the full scope at the start. Agree the hourly rates before the work, tell the customer when the hours pass what you expected, and list the materials one by one.

Keeping track of the hours

A labor invoice is only as good as the record behind it. Write down the start and the end of each day while you are on the job, not at the end of the week. Note who was there and what was done. When the invoice goes out, the hours on it match your notes, and a question from the customer takes a minute to answer.

Labor invoice questions

How do I invoice for labor only?

List the hours in the quantity column and your rate next to it, one line per person or per role. If the customer supplied all the materials, say so in the notes.

Should I show hours for each day?

For a job of several days it helps. Put one line per day, or keep one line for the total and list the days in the notes.

How do I bill a helper at a different rate?

Give the helper a separate line with their own hours and rate. The invoice adds the two lines.

What is a time and materials invoice?

An invoice for the hours worked at an agreed rate plus the materials used, each listed on its own line.

Do I charge for travel time?

That is your policy. If you charge it, agree it before the job and show it as its own line.

How do I round hours on a labor invoice?

Pick one way and use it on every job, such as to the quarter hour, and tell the customer before the work. Write hours as a decimal: 1.5, not an hour and a half.

Can I mix hourly work and a flat price on one invoice?

Yes. Put the flat-price work on its own line with a quantity of one, and the hourly work on another line with the hours and the rate.

How do I invoice for a crew?

One line for each rate. If three helpers work at the same rate, add their hours together on one line and say in the notes how many people were there.

What an invoice has to show can differ by state, so check what applies where you work. This is general information, not tax or legal advice.
