What to put on a boat service invoice

Name the boat and where it is kept. Work you price by the foot gets the length as its quantity, and engine work and parts go on separate lines.

  • your business name, phone and email
  • your customer's name and the address of the job
  • an invoice number and the date
  • each service and each part on its own line, with quantity and rate
  • any discount, tax and deposit already paid
  • the total, and how and by when to pay

What an invoice has to show can differ by state, so check what applies where you work. This is general information, not tax or legal advice.

What each line on this invoice is for

Boat service is washing priced by the foot plus engine work and the occasional repair. The paper names the boat, and each service and part gets its own line.

Work priced by the foot
The length of the boat in the quantity column and your price per foot. Name the boat and where it is kept.
Work priced per engine
The number of engines in the quantity column, here two, and your price for one.
Service call and labor
The trip on one line, with the problem in the owner's words. What you did and the hours it took on the next.
Parts
A pump, a filter, an impeller: one line each, even the small ones.

In the notes, write where the boat is kept and the engine hours you read, as a plain number.

Where boat paperwork goes wrong: a per-foot price with no length next to it. Put the length in the quantity column and your price per foot as the rate, so the owner sees how the amount was reached.

Length, engines and parts on a boat invoice

A boat invoice names the boat first: its length, what kind it is and where it is kept, such as the marina and slip. Washing and waxing are often priced by the foot, so put the length in the quantity column and your price per foot as the rate. Engine work is often priced per engine, so the quantity is the number of engines. A service call and the repair labor that follows are separate lines, and each part, from a pump to an impeller, gets its own. The engine hours you read go in the notes as a plain number with the date.

Boat service invoice questions

How do I show a price per foot?

The length of the boat in the quantity column and your price per foot as the rate. The line then shows both, and the amount.

Should I bill by the month or by the visit?

Either. Even with a monthly price, list the visits, so the customer sees what the month covered.

How do I bill work on two engines?

Per engine: the number of engines in the quantity column and your price for one. Parts go on their own lines.

How do I handle a visit I could not make?

That is your policy to set. Say it when the customer signs up, and show the visit as its own line either way.

Should the engine hours be on the invoice?

In the notes, as a plain number with the date of the visit.
