What to put on a garage door invoice

List the service call, the labor and each part. Say which door, single or double, so there is no doubt.

  • your business name, phone and email
  • your customer's name and the address of the job
  • an invoice number and the date
  • each service and each part on its own line, with quantity and rate
  • any discount, tax and deposit already paid
  • the total, and how and by when to pay

What an invoice has to show can differ by state, so check what applies where you work. This is general information, not tax or legal advice.

What each line on this invoice is for

A garage door call usually ends with a part: springs, rollers, an opener. Many homes have two doors, so say which one.

Service call
The trip and finding the fault, with the complaint in the customer's words: stops halfway, will not open, loud.
The main repair
Springs go on one line as a pair, with the size of the door in the description.
Parts by count
Rollers, hinges and similar parts: one line per kind, with a quantity.
A service
Lubricating and balancing the door is work of its own and gets its own line.

In the notes, write which door you worked on, its size, and anything you saw that will need attention later.

Where garage door paperwork goes wrong: springs replaced, with no word on the door. Name the door, single or double, and its size, so the part and the price still make sense a year later.

Garage door invoice questions

Should the invoice name the door?

Yes: which door, single or double, and its size. A home with two doors gets different invoices over the years, and the size tells you which parts went in.

How do I bill springs?

As a pair on one line, with the door size in the description. If you replaced one, say one.

Do I charge the service call if I do the repair?

That is your policy to set. Say it when the visit is booked, and show the service call as a line either way, at its price or at zero.

How do I show parts replaced by count?

One line per kind of part with a quantity. Ten rollers is one line.

How do I bill an evening or weekend call?

If you charge more, show it as its own line with the words after-hours, and say it on the phone before you drive out.
