What to put on a plumbing invoice

Put labor by the hour on one line and each fixture or part on its own. If you asked for a deposit before ordering, show it, so the balance is clear.

  • your business name, phone and email
  • your customer's name and the address of the job
  • an invoice number and the date
  • each service and each part on its own line, with quantity and rate
  • any discount, tax and deposit already paid
  • the total, and how and by when to pay

What an invoice has to show can differ by state, so check what applies where you work. This is general information, not tax or legal advice.

What each line on this invoice is for

Plumbing calls run from a ten-minute fix to a full day under a house. The paper has to show what the visit was for and where the time and the parts went.

Service call
The trip and the diagnosis. Name the problem in the customer's words, here no hot water, and the fixture or heater you looked at.
Labor by the hour
What you did and how long it took. Hours with one decimal are enough.
Each part
One line per part with its own price, so nothing hides inside labor.
Extra service
Work that is not the repair itself, like draining and flushing the tank, gets its own line. The customer sees what it added.

In the notes, write where the shutoff is if you found it, and what you would look at on the next visit.

Where plumbing paperwork goes wrong: parts folded into labor. Name each part, name the fixture or the heater it went into, and keep the service call on its own line.

Plumbing invoice questions

Should labor and parts be on separate lines on a plumbing invoice?

Yes, as a habit. Customers ask about the parts price and the hourly rate separately, and separate lines answer both before they call.

How do I show a deposit the customer already paid?

Put the deposit in its field. The invoice then shows the total, the amount already paid and the balance that is left.

What if I found more work once the wall or the floor was open?

Add it as its own line and say what you found. If it changes the price a lot, send a new estimate and get a yes before you go on.

Do I charge the service call if the customer goes ahead with the repair?

That is your policy to set. Whatever you choose, say it before the visit and show the service call as a line, even at zero, so the customer sees it was counted.

How do I bill an emergency or after-hours call?

If you charge more for nights or weekends, show it as its own line with the words after-hours, so it is not mixed into the hourly rate.
