A sample invoice

Every name, address and number in this sample is made up.

You can open this same sample in the invoice maker, change the lines to match your job and download it as a PDF.

The top: who it is from

The business name is the largest thing on the page after the word Invoice. Under it come the address, the phone and the email. A customer who has a question should not have to search for how to reach you.

The number, the date and the terms

Invoice # 1001 is the first invoice in a row of numbers. The date is the day the invoice was made. Terms say when payment is expected; here it is due on receipt, which is common for a home visit.

Bill to: who it is for

The customer's name, the address, a phone number and an email. On a job at a rental or for a family member, the person paying and the address of the work can differ, and both belong here.

The line items

This is the part people read. Each line has a description, a quantity, a rate and an amount.

  • Drywall repair, about 2 x 3 ft: a flat price for a defined job, with its size and what it included.
  • Labor: fence gate repair (hours): 2.5 hours at an hourly rate. Hours sit in the quantity column.
  • Gate hinge set: a part, on its own line.
  • Patch kit and paint: materials for the first job, apart from its labor.

Two jobs were done in one visit, and the customer can see what each one cost.

The total

The amounts add up to the total. If there were a discount, sales tax or a deposit already paid, each would have its own row between the lines and the total, so the customer can follow the arithmetic.

What this example leaves out

A notes line, such as what you would look at on the next visit, and the ways you take payment. Both are worth adding to your own.
